Objective of the Role

Within the EMEA team in London and reporting to both the Wholesale Area Manager and the Sales Operations Manager, the Wholesale Sales Administration Coordinator will play a key role in supporting the wholesale business across the region. This role will focus on managing the order portfolio, including reorders and market orders, ensuring seamless coordination between the headquarters, the regional sales operations, and supply chain teams.

The ideal candidate will have prior experience in sales administration or supply chain within the wholesale sector. He/she should be comfortable working with Excel, including functions such as OTC and VLOOKUPs, and preferably have experience with ERP systems like D365 or AX.

Job responsibilities

Main Responsibilities

1. Order & Sales Administration

  • Manage the order portfolio, including processing orders, follow-ups, and ensuring timely fulfillment.
  • Send order confirmations (OCs), price lists, and product information to customers.
  • Coordinate seasonal launches in alignment with the marketing plan and product availability.
  • Monitor and facilitate reorders by analyzing stock levels and supporting the sales team in implementing replenishment strategies.
  • Support the sales team with administrative and operational tasks during market time (e.g., order entry, data processing).
  • Maintain and update the customer database (contacts, Incoterms, etc.).

2. Supply Chain & Logistics Coordination

  • Work closely with logistics department to ensure smooth order processing and invoicing.
  • Support inventory allocation to prioritize key wholesale customers, with a focus on top sellers’ availability in the EMEA Distribution Center (DC).
  • Assist in coordinating with partners and department stores to ensure on-time order fulfillment.
  • Monitor and facilitate stock movements to optimize wholesale business performance.

3. Customer & Credit Management Support

  • Collaborate with the Credit Management team to push shipments once payments are received.
  • Act as a point of contact for customers to resolve credit-related issues in coordination with the finance team.
  • Support customer satisfaction initiatives by providing local knowledge and solutions to optimize service levels.

4. Reporting & Business Analysis

  • Provide reports and insights on stock availability, deliveries, and pricing for the sales team and customers.
  • Support the analysis of sell-out data to tailor reorder proposals when necessary.
  • Track order fulfillment performance and support internal teams in reaching monthly invoicing targets (OTIF).

Profile

Main Selection Criteria

 

  • Experience in Sales Administration within a wholesale business.
  • Understanding of warehouse systems, credit control, and logistics.
  • Proficiency in Excel (OTC, VLOOKUPs, and other functions) and experience working with ERP systems (D365 or AX)
  • Detail-oriented with strong coordination and organizational skills.
  • Ability to multitask and work under pressure with shifting priorities.
  • Excellent communication and team player mindset.
  • Experience working with Italian wholesale clients is a plus.
  • Fluency in English and Italian required.
